This page explains what Lyndhurst Primary School does with the information you give us through this
website, and what your rights are. It is written in plain language on purpose. If anything here is unclear,
please ask us — our contact details are in section 9.

1. Who we are

Lyndhurst Primary School, 2 Thole Street, Berkshire Downs, New Germany, 3610, KwaZulu-Natal.

We are responsible for the information you submit through this website. We process it in line with the
Protection of Personal Information Act, 2013 (POPIA).

2. What we collect

We collect only what you type into a form. Depending on which form you use, that is usually:

  • the parent’s or guardian’s name;
  • an email address;
  • a contact or WhatsApp number;
  • the child’s name and the grade you are enquiring about;
  • anything you write in the message box.

When a form is submitted, our system also records the date and time, the page the form was on, the
browser used and the IP address it came from. We keep that specifically so we can show, if we are ever
asked, exactly when and how permission was given. It is evidence of your consent, and we do not use it for
anything else.

3. Information about children

An admissions or registration enquiry is about a child, and the law treats a child’s information as
requiring extra care.

Our forms must be completed by a parent or legal guardian. By submitting one you confirm
that you are that child’s parent or guardian and that you consent on their behalf. We ask for no more
about a child than the name and the grade — enough to answer your enquiry and nothing further. We do
not ask for a child’s identity number, medical details or photographs through this website.

4. Why we use it

  • To answer you. This is the reason you filled the form in, and it is the main thing we
    do with it.
  • To manage an admission or registration enquiry through to its conclusion.
  • To send you occasional school news — open days, admissions dates, events —
    but only where you ticked the consent box.
  • To keep the records the law requires us to keep, including the record of your consent.

We do not sell your information, and we do not use it for automated decision-making or profiling.

5. Who sees it

Enquiries go to the school’s admissions staff.

Our website and the email system that delivers these enquiries are run for us by Pro Media Mogul, who act
as our operator under POPIA. They process this information on our instruction only and may not use it for
their own purposes. Our website and email are hosted in South Africa.

We will otherwise share your information only where the law obliges us to — for example with the
Department of Basic Education in the ordinary course of a learner’s admission.

6. How long we keep it

Enquiries that do not lead to an application are kept for two years and then deleted, so
that we can pick up a conversation across an admissions cycle. Where an enquiry becomes an actual
application, the information moves into the learner’s school record and is kept for as long as the
school is required to keep learner records.

If you have consented to school news, we keep your email address until you ask us to stop.

7. How we protect it

The website is served over an encrypted connection. Access to enquiries is limited to staff who need it.
Our website systems are kept up to date and backed up.

No system is perfect. If information is ever lost or accessed by someone who should not have it, and that
creates a real risk to you, we will tell you and the Information Regulator as POPIA requires.

8. Your rights

You may, at any time:

  • ask what information we hold about you or your child;
  • ask us to correct anything that is wrong;
  • ask us to delete it, where we are not obliged to keep it;
  • object to how we are using it;
  • withdraw your consent to school news. Every email we send has an unsubscribe link,
    or you can simply reply and ask. Withdrawing it does not affect your enquiry or your
    child’s application in any way.

Ask us first — we would rather put something right ourselves. If you are not satisfied, you may
complain to the Information Regulator of South Africa at
